This notice describes how Mentor Intelligence handles personal information. Related: Terms of use.

Who is responsible

Mentor Intelligence is a shared platform used by independent chapter mentoring programs. The chapter that collects your application or profile usually decides why that program information is collected and who on its team may see it. The platform operator hosts the software and processes that information to run the service and to support the chapter.

The legal entity name for the platform operator on contracts is still being confirmed. Until then, contact info@mentorintell.com.

What we collect

The public forms ask for:

  • Founder application: your name, email and phone number, your background, and details about your venture.
  • Mentor profile update: your name, email, phone number, LinkedIn address, bio, areas of expertise and availability.
  • Venture check-in: the venture's name, your name and email, and whether the venture's details are still correct.
  • Rally sign-up: your name, how many teams you mentor and can take on, the ventures you choose, any conflicts of interest and your comments.

A chapter can add its own questions to the founder application.

The free tools on this site keep what you type in. If you ask for a full report, they also keep the email, name and company you give.

When you open a page or send a form, we also receive your IP address and basic details about your browser.

Program staff add their own records in the app, such as notes (including mentor-applicant notes), meeting or pitch transcripts, matching records, program-health entries, and advisory-board scorecards when that module is enabled.

Staff accounts use sign-in email, chapter membership and role. Access may be limited to allowed addresses. Authorized staff may use "View as" to see the app as another member under product rules.

Partner mentor referrals from outside networks are not live yet. If they are added later, this notice will say so and will require the person's own opt-in.

Who sees it

  • The program team of the chapter you sent it to.
  • Mentors in that chapter who need roster or matching information, as the chapter configures.
  • Mentor Intelligence support, when helping that chapter.
  • Advisory-board members, only for board information they are granted access to (when that module is on).

A rally sign-up form shows the names of the ventures in that rally to the mentors who open it.

Chapters do not see each other's operational data.

Where it is kept

The main database and sign-in are hosted in Canada (Supabase, Canada Central).

Copies and processing may pass through the services below. Some of those providers operate outside Canada. Canadian privacy law (including PIPEDA for commercial activities, and Alberta's PIPA where an Alberta organization is involved) may allow such transfers with appropriate safeguards — counsel will confirm the wording for the final notice.

Services we use

Supabase

Hosts the main database and sign-in (Canada Central).

Resend

Sends our emails. It receives the recipient's email address and the message.

Google Sheets, through Google Apps Script

Keeps a backup copy of each public form submission when that backup is configured.

Cloudflare Turnstile

Checks that a public form is sent by a person. It receives your IP address and details about your browser.

Vercel

Hosts the app, so pages and form submissions pass through it. It also counts page views and measures page speed.

PostHog

Product usage analytics: which pages are opened and what is clicked.

Sentry

Error reports: what went wrong and on which page (when configured).

Perplexity

Runs AI features program staff use. It receives the text those features work on: application and venture details, mentor names and expertise, and pitch or meeting transcripts.

Upstash Redis

Shared rate limits for public forms (when configured): request timing tied to IP and form.

Quickbase

Optional mentor-roster sync for chapters that connect it.

What we use it for

To run the mentoring program: reviewing applications, matching mentors with ventures, running rallies, keeping records up to date, securing accounts, sending transactional email, measuring product reliability, and supporting chapters that ask for help.

We do not use it for advertising and we do not sell it.

AI features

Signed-in staff may use an in-app assistant and related AI tools. Those tools can send program text (for example application details, mentor expertise, or transcripts) to the configured AI provider so the feature can run. Staff should verify important outputs. Provider terms control how that provider handles the text.

Email

The app sends sign-in and password links, a confirmation when a founder applies, and a notice to program staff when a form comes in. Those emails link to this page.

Cookies

We use cookies and similar storage for sign-in, chapter selection, security gates on test sites, optional "View as" sessions, and analytics or error tools when they are configured. There is no separate cookie banner on the site yet.

How long we keep it

There is no single automatic delete schedule across all records today. Chapters keep program records while they use the platform; backups and third-party tools follow their own settings. Ask your chapter (or the contact below) if you want information corrected or removed.

Children

The service is aimed at adult founders, mentors and program staff. It is not directed at children under 13.

Ask for a copy, a correction or deletion

Contact your chapter's program team. If you do not know who that is, email info@mentorintell.com.
